Downtime Tasks
Work on these when no active client task is assigned
1️⃣
Review pending design briefs
Check all shared folders and project management tools for any outstanding briefs that haven't been started.
2️⃣
Update portfolio samples
Add latest completed work to the internal portfolio folder. Organize by project type.
3️⃣
Complete training module
Log into Skool and complete the next available training session. Note any questions for team standup.
4️⃣
Audit active client websites
Check all managed client sites for broken links, slow loading, or outdated content. Log findings.
5️⃣
Respond to all unread messages
Check Slack, email, and project PM tools. No message should go unanswered for more than 2 hours.
🎨 Brand Rights — WebLight Media Standards
All designers must follow these guidelines on every client project
✅ Design Do's
Always use the client's approved brand color palette
No substitutions without written approval from the account manager
Deliver all assets in the required file formats (PNG, SVG, PDF)
Ask the client if unsure — never assume
Use royalty-free or licensed images only
Source from approved libraries: Unsplash, Adobe Stock, or client-provided
Maintain consistent typography hierarchy across all deliverables
H1, H2, body, caption — follow the style guide exactly
Log all version history and save as dated files
v1.0, v1.1, v2.0 — never overwrite the original
🚫 Design Don'ts
Do NOT use AI-generated images without disclosure and approval
Always flag if AI tools were used in content creation
Do NOT share client brand assets or files externally
No sharing outside the assigned project folder — ever
Do NOT post client work on personal social media
Wait for explicit approval before sharing any deliverable publicly
Do NOT make font or layout changes not specified in the brief
Bring creative suggestions to your manager first — don't self-approve
Do NOT miss deadlines without prior notice
If you are at risk of missing a deadline, communicate at least 24h in advance
⚠️ This page outlines exactly what decisions fall within your authority, what needs approval, and what is outside your scope entirely. When in doubt, always escalate.
✅
Authorized
Decisions you can make independently
Minor Design Revisions
Color tweaks, spacing, copy formatting within approved brand guide — no approval needed.
File Naming & Organization
Version control, folder structure, and file labeling are fully within your control.
Daily Task Prioritization
You can decide the order you complete assigned tasks within the same deadline window.
Use of Approved Tools
You may freely use tools already listed in your Credentials vault without asking.
Internal Asset Creation
Draft mockups, wireframes, and concept files for internal review without prior approval.
⚠️
Needs Approval
Must be cleared with your manager first
New Design Direction
Any major layout, font choice, or concept pivot must be approved before presenting to the client.
Deadline Changes
Any shift in agreed delivery dates must be escalated and approved 24h+ in advance.
New Tool Requests
Requests for access to new software or platforms must go through the admin panel first.
Adding New Brand Elements
Proposing new color usage, fonts, or visual styles not in the original brief requires sign-off.
Scope Expansion
If a client requests work beyond the original scope, flag it — do not begin without approval.
🚫
Not Permitted
Outside your decision authority entirely
Direct Client Communication
All client contact must go through the account manager unless explicitly delegated in writing.
Purchasing Software or Subscriptions
You may not purchase any tool, plugin, or subscription on behalf of WebLight Media independently.
Sharing Client Files Externally
No client assets, files, or data may be shared outside the assigned project folder under any circumstances.
Pricing or Contract Decisions
You are not authorized to quote prices, negotiate terms, or modify any client agreement.
Publishing Client Work Publicly
No deliverable may be posted on social media or shared publicly without written approval from the owner.
